Special Events Associate

The Department of Art, Culture + Tourism is seeking to build a team of Special Events Associates. This team will be dedicated to on-the-ground management of City permitted special events as part of the City’s COVID recovery effort.  The Special Events Associates will act as a liaison between the permitting review process and the real time events. This team will provide excellent customer service and assistance and help to keep everyone accountable to public health and safety regulations. This team will have many opportunities to train in different aspects in event management.

The primary responsibility of the Special Events Associates to provide general information and assistance to guests and organizers.  Event staff will interact directly with interdepartmental City staff and will be the on-site point-of-contact for organizers and guests. This person will need to be able to solve on-the-job issues by utilizing effective critical thinking and decision-making skills and possess the ability to work with diverse populations.

Seasonal: May 15, 2021 thru September 1, 2021

Compensation: $17.00 per hour @ 25 hours per week.

Duties and Responsibilities include but are not limited to.

  • Develop a working relationship with the City Service Team
  • Attend regularly scheduled with City staff for all areas necessary at the discretion of ACT.
  • Must act and represent the City of Providence n a positive and professional manner.
  • Dress and appearance are consistent with City standards.
  • Perform other duties as assigned.
  • Attend two weekly meetings.

One team meeting with the ACT Deputy Director and the Special Events Associates

One interdepartmental event review city meeting on Wednesdays at 10AM -11AM

  • Monitor health and safety standards.
  • Record and report events in full detail; including but not limited to taking pictures and tracking attendance numbers.
  • Assist with the development of data points that will be recorded by the team for tracking purposes.  Identify common problems and solutions. and communicate these issues to ACT Special Event staff.
  • Report to the ACT Special Event staff. on Monday of each week with feedback of the events of past weekend Including but not limited to attendance numbers, event organizer and participant behavior.
  • When position ends, provide a brief narrative with recommendations, data, and outcomes.

Physical demands

  • Ability to recognize and respond to emergency situations.
  • Ability to lift 50 pounds and sit or stand for extended periods of time.

Preferred qualifications

  • Previous experience with event organization and management
  • Superior customer service skills
  • Ability to work varying hours and weekends.
  • Show initiative, flexibility, and good humor.
  • Must have Zoom meeting experience.
  • Experience with complex projects.
  • Passion for Providence’s arts, cultural diversity, and creativity.
  • Excellent organizational and communication skills.
  • Ability to troubleshoot technical problems.
  • Acute attention to detail
  • Comfortable using Microsoft word, excel and ASANA.
  • Ability to recognize emergency situations.
  • Multi-lingual – Spanish preferred
